Communication Policy
The Club @ Wraparound Care Limited

We aim to operate in the following way daily and where appropriate: 

 

  • Inform parents of any last-minute changes to operational timings.  

  • Inform the staff team of any upcoming changes to our venue/outdoor supervision as communicated in advance by the school.eg: Parents evenings; playground use for other purposes.  

  • Follow up all unaccounted-for absence using parental emergency contact information on file stored on site in each facility. Advise parents of upcoming and immediate changes.  

  • Communicate all CP/Safeguarding concerns with the headteacher/JCAT as necessary.  

  • Report all registered serious accidents (which require further medical treatment off site) to Headteacher/JCAT as necessary. 

  • Contact parents where children are not using the toilet independently according to our toileting expectations for collection when necessary.

  • Communicate any broken/not working issues during club sessions as these arise.

  • Communicate any serious behaviour issues as they arise after a session. 

  • Follow up on all significant/serious issues arising out of sessions relating to all children within our care.  â€‹

  • To generate a risk assessment plan when an individual has sustained an injury.

 

We expect all parents and guardians: 

 

  • To inform us of absence ahead of afternoon sessions – Breakfast absence is not required to be communicated.  

  • To inform Odette of circumstances arising which may affect children’s time spent with us.  

  • To communicate full disclosure of discreet/indiscreet needs. 

  • To be informed in advance should a child arrive with a sustained injury to determine suitability. 

  • To communicate in writing when an alternative adult is collecting to those named on file. Parents are regularly reminded that we will not release a child without parental consent even in cases where the adult collecting is known to the child. 

 

Storage and rental space to be fit for purpose for all sessions to include: 

 

  • Daily cleaning of floors/toilets  

  • Clean storage for food items (fridges)

  • Fully stocked toilets 

  • Workable space with lighting/fixtures and fittings (heating/air conditioning) to be working. 

*Termly deep clean of the spaces we use including office space/fridges.
